There are three basic steps. 1) Create an event. 2) Check In your attendees. 3) View and download your attendees after the event.

Create an Event

From the navigation, click "Events" then click the button in the upper-right portion of the page and complete the form. The only required fields are Event Name and Start Date.

Event Name can be whatever suites you. It will show up at the top of the Check In page, so it should be appropriate for public consumption.

Start Date/Time is only used for sorting on your event page. There are no restrictions set as to when you can check people into or out of an event.

End Date/Time is only used to help limit the number of events on your event page. Once the event is past, it will show up only in your Past Events. However, there is no restrictions set as to when you can check people into or out of an event. So you can still check people into a past event.

Open Check In by default, checking in requires a proctor to first sign in with their University Net-ID and password and select from their list of events. By selecting "Open Check In", anyone you give the Event ID and Event Key will be able to check in attendees WITHOUT logging in. That means that the proctor column in the data will be blank. This is useful for unmanned stations where where you'd like attendees to check themselves in without supervision.

Proctors can be added after you create or when you edit an event. Proctors are individuals with whom you would like to share the event details. As a proctor, they will have the ability to check-in individuals and view/download the list of attendees. They are not able to add or remove other proctors.

Check In

The check in process is designed to be used by the event owner or a designated proctor. Unless the event is marked as an “Open Check In” event, the owner or proctor will need to sign in using their ISU Net-ID and password when they begin the Check In process.

An Event ID and Event Key are generated by the system when the event is created. They can be found on the Event Detail page. These should be noted as they will be needed to begin the check in process.

From the main navigation menu, select Check In (or select Check In from the action list in the event details). Enter the Event ID and Event Key and select Submit. You're now ready to check people into your event. Note: Multiple proctors can check people into the event at the same time.

In the Check In field, you can enter any of the following...

ISU ID Number - The center nine digits on the University's ISU Card (600957 123456789 X X).

Iowa State Email - The complete University email address (johndoe@iastate.edu) or just the Net-ID portion of the address (johndoe).

Non-ISU Email - The complete email address (janedoe@sample.com). This will prompt for a first and last name for the attendee. This will mark them as a non-ISU attendee. If they wish to associate the attendance with their University identity, they must use their @iastate.edu address.

Magnetic Stripe Reader (MSR) - You can use an MSR to read the ISU ID from the University's ISU Card. The cursor of the browser must be in the Check In field when the card is swiped. The transmitted format should match: ;600957123456789XX=4912120000000000000?

Proximity Card Scanner (PCS) - You can use a PCS to read the Prox ID from the University's ISU Card. The cursor of the browser must be in the Check In field when the card is scanned. The Prox ID is referenced internally and is matched to an ISU ID which is then associated with the individual. The transmitted format should match: 0048-0123456

Download / View Attendees

After your event (or during if you're curious), you can view and download the attendees. Log in to the system with your credentials and from the list of your events, select View next to the event. The list of attendees will show up at the bottom in a pagination table. You can download the complete list as an Excel spreadsheet. The spreadsheet also lists the proctor who was signed in at the check in station.
